In this article we will learn how to create a project, make a rough plan with events, allocate creatives and add important milestones. 💪
If you haven't already, the very first step is to create a new project in ftrack and choose a suitable workflow schema. The project in ftrack will encapsulate all information, tasks and digital assets necessary to complete your project.
The workflow schema you use will depend on the of project and how your work as a company. It defines the approvals steps and types of work that you plan to do.
A start and end date can be set to let everyone in your team know when the project is is due. The dates will also guide the planning and scheduling tools.
If you want to keep it private you can switch "Private access on". This will make sure that only you can access it for the time being, then you can invite your colleagues at a later stage.
Planning a project
When you have a project it might be a good idea to get down a rough plan on how you want to tackle the project. In what order should the project be done, by who an when? Planning your project can happen early on in a project and is a good way to get a common understanding of what you plan to do.
From the Overview > Projects > Timeline view we can create events that represents the big phases of your project, what you will do in each phase and who you intend to work on it.
Advanced tip: An estimate can be attached to an event. This can be used to forecast future capacity needs.
The plan that you create can also guide you when you schedule the tasks of the project. It is possible to create tasks outside of the events that you've created and the events are just meant to act as a reference.
Planning projects in ftrack also allows you to keep track of the people in your team and and their individual availability and schedule. To see the workspace team you can navigate to Overview > Users > Timeline. Here you can also add vacations and holidays to make sure that you know when people are available.
You creatives will be able to see their schedule from the My Tasks page.
Tracking important milestones
In addition to phases it is possible to track milestones in ftrack. These can be added to represent important dates in your project, perhaps a delivery date for the entire project.
From Overview > Projects > Timeline view you can create a milestone anywhere on the project timeline by double-click in the timeline. Milestones created in this way will appear in the root of the project.
Milestones will appear as a diamond-shaped icon and show on timelines in the Overview module and in the Schedule tool for each project. Milestones also show as entries in the main Tasks spreadsheet.
Creatives will see a list of milestones on the right-hand side of their My Tasks page.
